Q: How far in advance of my event date can I reserve space at the Quorum Conference Center?

A: You may request reservation up to one year in advance. Once you provide a signed Facility Agreement your reservation will be confirmed.

Q: What are the Room Rental Fees at the Quorum Conference Center?

A: Quorum Conference Center room rental fees vary according to the length of the event, the room(s) requested, and the AV equipment used. Contact the Conference Center Coordinator to receive a room rental quote for your specific event needs.

Q: What does the Room Rental Fee include?

A: The fee includes rental of the room for the time period indicated on your Facility Agreement, with advance set up of the tables and chairs to your specifications by the conference center staff. Also included in the room rental fee is use of one flip chart with pad and markers, Overhead Projector, Screen, TV, VCR, DVD, Wireless Internet, Copy and fax machine, and telephone access.

Q: Is there a discount for booking multiple events at the Quorum Conference Center?

A: Yes, negotiated rates are available for scheduling multiple bookings throughout the year. Reservations must be booked at the same time in order to receive discount.

Q: What is the reservation and cancellation policy?

A: You may reserve a date, if available, up to one year in advance. You can confirm the date by providing a signed Facility Agreement. Once a date is confirmed, you may cancel your reservation in writing at least 5 business days prior to the event date and result in an irrevocable forfeiture of all amounts paid to Quorum Conference Center. Please be aware that the caterer may have separate and different cancellation policies.

Q: How can I get to the Quorum Conference Center?

A: We are conveniently located approximately twenty minutes from the Nashville airport and minutes from Interstate 65. Directions with a map are available at this link: Directions.

Q: Is on-site parking available?

A: Yes. Complimentary parking is available onsite for all guests visiting the center.

Q: What size groups can be accommodated?

A: We can accommodate groups of 2 people to 140.

Q: What size tables are available for room set ups?

A: Our inventory currently includes 60” rounds and 50” rounds, which can seat 6 people, plus 5’x 24” rectangular tables and 5’x 26” trapezoid shaped tables. To see an example of some of our room set-ups follow this link: Facilities.

Q: Do we pay for set-up time? Do we set-up, clean, etc?

A: Our clients contract for the entire time they occupy the facility, so plan to include your set-up time. Please remember, however, that we will have all tables and chairs set up in advance to your specifications. After your event we ask that you remove any items that you’ve brought in and our facilities staff will take care of the rest of the clean up.

Q: How late can our event go?

A: The Quorum Conference Center is in a corporate office building that shuts down around 6:00 PM nightly. On average our conferences end around 5:00 PM, if you expect your conference to go later then 6:00 PM, please contact the Conference Center Coordinator to discuss your needs.

Q: Do you allow smoking?

A: Smoking is permitted only in designated outside areas. There are no designated areas within the building or inside conference rooms. Guests of the Quorum Conference Center who wish to smoke must go to the designated outdoor location at the back entrance of the building.

Q: Can I bring my own food into the Quorum Conference Center?

A: Events requiring food and beverages will be catered in-house.

Q: Can special dietary needs be accommodated?

A: Yes, the catering services at the Quorum Center offer menu options including vegetarian and vegan. We must be notified of any special dietary needs and allergies at least 1 week prior to the start of your conference.

Q: What Beverage Service is offered at the Quorum Conference Center?

A: We currently offer an Unlimited Beverage Centerfor all of our clients to use. Conveniently located in the conference center lobby, the Beverage center has an assortment of juices, sodas, regular and decaffeinated coffee, a selection of hot teas, creamers, sugars, and beverageware at a self-serve station. Your conference center coordinator will keep the center refreshed throughout the day. There is a daily per person fee for use of the beverage center, please contact your conference coordinator for pricing.

Q: Can alcohol be served at out events?

A: No, the Quorum Conference Center does not permit any alcoholic beverages to be served on the premises.
